Abbeygate Sixth Form College is part of the Suffolk Academies Trust, working closely with One Sixth Form College and West Suffolk College. Abbeygate opened in 2019, with a Year 12 cohort only; in September 2020 we moved into our brand new state of the art building, accommodating both Year 12 and 13. We offer a broad and balanced A Level curriculum, with a wide range of activities and opportunities to enrich and extend students’ experience to develop well-rounded individuals with the essential skills required for their future studies and careers.

Main description

The postholder will be responsible to the Administration Co-Ordinator for the delivery of a range of administrative services to support West Suffolk College. The role will include some financial elements. All duties will be carried out within recognised procedures or guidelines and will include ad hoc duties, which require some initiative.

Main Duties:

  • Support teaching staff, students within student support, and curriculum areas with a wide range of administrative processes associated with the Communications and Administration function.
  • Support the delivery of key events as required by the college throughout the academic year such as parents evenings and Open Events which may be held in the evenings or on the weekend.
  • Contribute to the administrative work associated with links with the community making efficient and effective use of the facilities and resources. • Assist with arranging educational visits, in accordance with our procedures.
  • Deal with routine enquiries and correspondence from staff, students/stakeholders and other organisations.
  • Maintain files and systems ensuring they are up to date and accurate.
  • Reprographics assistance. 
  • To assist with key supporting duties around the enrolment and on-boarding of students at the beginning of the academic year.
  • Event planning, which may include organizing hospitality and liaising with staff and external providers.
  • Purchase order processing for curriculum resources.
  • Provide admin assistance for key events, and cover in other areas of the college where required, such as reception and reprographics.
  • Booking rooms for staff or events • Recording of student absences and checking and chasing daily student registers.
  • General secretarial tasks i.e., letter writing, producing labels etc.
  • Issuing resources, general books and video equipment to staff and students.
  • Attend continued professional development sessions and training for all Safeguarding requirements, which may be held in the evening.
  • Fire marshal duties.

There will be some need to interpret information or situations and to solve straightforward problems. More advanced problems will be referred to line manager, who will be available for direction and guidance. No direct responsibility for supervising others but may involve demonstrating duties or giving advice and guidance to new employees or others.

The postholder will be expected to solve varied problems and develop solutions using analytical, judgmental, creative and developmental skills. All staff are expected to work together be flexible, adaptable and respond to the changing demands within the College and the Eastern Education Group.

Entry requirements

GCSE Maths and English at grades 4 or above - Essential.

Training to be Provided

The learner will be studying the Business Administrator Level 3 Apprenticeship Standard qualification.
Functional skills will be studied if current required qualifications are not met.
