Prestige Fire Safety are a local fire protection company, based in Cambridge. who provide a full range of products and services to ensure your commercial premises or home remains safe and sound including fire extinguisher installation and servicing, commercial and residential fire alarm installation and servicing, passive fire protection installations (firestopping, fire doors, partition walls and fire curtains), intruder alarm installation and servicing, CCTV installation and servicing, access control systems, fire warden and fire awareness training, fire hydrant testing, fire risk assessments, fire stopping surveys and fire door surveys to name just a few, covering Cambridge, Newmarket, Ely and surrounding areas in East Anglia.

Main description

The Projects Assistant will provide administrative and operational support to ensure the smooth
delivery of Prestige Fire Safety projects and services. The role involves coordination,
documentation, customer liaison, and process improvement to support both active and passive fire
protection works.

Main Duties & Responsibilities

Duties will include, but are not limited to, the following:

  • Acting as a key point of contact for firestopping works, compartmentation surveys, fire
    dampers and fire risk assessments
  • Liaising with suppliers and clients to coordinate works and resolve queries
  • Preparing and sending quotations using company software systems
  • Scheduling fire risk assessments, compartmentation surveys, fire damper works and
    firestopping works
  • Compiling Operation & Maintenance (O&M) manuals for passive and active fire
    installations
  • Raising and sending invoices upon job completion
  • Raising purchase orders and procuring materials and equipment
  • Maintaining company accreditations and supporting compliance requirements
  • Developing and implementing improved processes to enhance workflow efficiency
  • Managing own diary to ensure all assigned tasks and deadlines are met
  • Completing customer pre-qualification questionnaires (PQQs) and associated compliance
    documentation
  • Monitoring and managing customer portals to ensure timely updates and responses
  • Identifying cross-selling opportunities where clients may benefit from additional Prestige
    Fire Safety services
  • Participating in relevant training courses to expand technical knowledge and professional
    qualifications

Candidate Requirements:

The ideal candidate will have at least 1-2 years admin experience and be able to demonstrate the following skills, experience and attributes:

  • Confidence/ability to speak to customers and engineers
  • Excellent communication and interpersonal skills, with the ability to build strong working
    relationships with clients, suppliers, and internal teams
  • Ability to work independently and collaboratively in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and CRM systems
  • Client-focused approach with strong written and verbal communication skills
  • Strong attention to detail and commercial awareness
  • Ability to manage and prioritise workload effectively with minimal supervision
  • Full UK driving licence
  • Strong problem-solving skills and the ability to meet deadlines

Conditions:

  • 40 hours per week (flexibility to be agreed with the Director)
  • Employer pension contribution: 3%
  • 28 days’ annual leave (inclusive of bank holidays)
