Main description
The Engagement Team at Norfolk Wildlife Trust is seeking a motivated, organised and proactive administrative assistant in a new role to support our expanding team.
This is an exciting time for Norfolk’s largest conservation charity as it journeys towards its centenary in 2026 and continues to expand its vital work for Norfolk’s wildlife and wild places.

Our Engagement Team lead on the organisation and delivery of events and activities for schools, the general public and community groups, both at our reserves and out and about around the county.
MAIN DUTIES:
a) Respond to booking enquiries from schools and education providers; provide information about our provision, chase outstanding information, add requests to our database and send full details of bookings. Liaise with Wilder Learning Lead or Wilder Learning Manager, and visitor centre staff, as part of the booking process.
b) Be the first point of contact for engagement telephone enquiries and respond proactively to third-party enquiries, including communication from our #TeamWilder supporters, campaigns and our Wildlife Information Service. Support the monitoring of a number of shared mailboxes, dealing with the enquires arising as appropriate.
c) Help to organise venues, equipment, meetings, inductions, post-evaluations, refreshments, attendee registers, promotion and events. Liaise with event participants providing further information and be a point of contact.
d) Raise purchase orders and sales invoices on the Trust’s finance system (Xledger) and support the finance team in inputting information.
e) Assist with data entry and management for our CRM system and other databases, including checking and merging duplicate records and collating data from various sources into a single format.
f) Review, re-organise and maintain filing systems (both electronic and hardcopy) and webpages, managing both archiving and disposal, in accordance with GDPR guidelines. Be responsible for undertaking legacy accessibility of documents and key files for projects that have ended.
g) Attend meetings as requested, share agendas and take minutes.
h) Proactively identify and address issues or suggest improvements and contribute to team wide problem solving.
OTHER DUTIES:
- Attend events to support the wider Trust when necessary
- Promote the work of NWT whilst undertaking the above duties and recruit new members where opportunities arise
- Work in accordance with, and ensure the implementation of NWT policies
Entry requirements and skills
We are looking for someone with excellent communication and organisational skills to support our busy Wilder Learning, Wilder Communities and Wilder Events teams which sit within our Engagement Directorate.
You will provide exceptional administrative support, supporting the teams to help connect more people to nature and to take action for wildlife.
Tasks will be varied, including dealing with enquiries from schools and the general public, supporting with event/activity coordination and general administrative and finance tasks.
The Wilder Administrative Assistant will be based at our Norwich headquarters at 22 Thorpe Road, Norwich NR1 1RY, although we are currently offering elements of hybrid/flexible working. The role will report to the Wilder Learning Lead, and will support the wider Engagement team.

ESSENTIAL REQUIREMENTS:
• Competent digital skills using Microsoft Office packages, including proven experience with using Excel, Word, Outlook, Teams and SharePoint.
• Proven administrative skills and experience, with good numeracy and literacy.
• Excellent organisational and time management skills, ability to work under own initiative and as part of a team.
• Strong verbal and written communication skills, with the ability to clearly communicate with different audiences.
• Experience of managing a varied workload with multiple competing priorities
• Ability to collaborate effectively with colleagues and other departments. Build interdepartmental relationships through liaising with the wider administration team and CEO’s office.
DESIRABLE REQUIREMENTS:
• Experience of CRM databases and finance systems (although training will be given for NWT’s systems).
• Knowledge of or experience of working within a school environment
• An enthusiasm for nature and the work of Norfolk Wildlife Trust, with some local wildlife knowledge being desirable
