Main description

We are currently looking for a Business Administration apprentice o support the EA team to provide an efficient, and pro-active service across the group.

Main Duties and Responsibilities:

The following duties are not shown in order of priority or frequency, nor is the list comprehensive, but rather an indication of the type and level of duties expected of the post.

• Provide first point of contact and excellent customer service to all staff and external visitors. Responding to queries from all staff via the intranet, email and telephone and referring to the Senior Executive Assistant where appropriate.

• Support with carrying out a range of administrative and organisational tasks including post handling, electronic and paper filing, scanning, photocopying, document collation, and ensuring availability of office supplies.

• Updating information on the College systems and maintaining accurate records using various software programmes such as Teams, Outlook, Word, Excel and in house systems to support the business.

• Attend and prepare for events, Inductions and information events as required.

• To support meetings and events as required across the college, booking rooms, hospitality, equipment, collation and printing of meeting papers and distribution of meeting/event materials, during and after the meeting/event.

• Support with organising travel and accommodation bookings.

• Administration support for processing orders, invoices, and purchase order requests to maintain stock of consumables.

• Be responsible for own health and safety at work and always comply with the College’s health and safety policy.

• Be compliant with the Risk Management Policy, raise awareness of risk with staff, implement strategies to minimise risk and report any new or emerging risks.

• To assist with Student Voice, which includes coordinating Students Rep and Student Council meetings, taking the minutes, uploading to college site, and making sure the student hub is maintained.

• Producing a variety of letters/communications as needed.

• Undertake any other duties commensurate with the grade of the post as required by the line manager.

Entry requirements

GCSE Maths and English at grades 4 or above required.

Training to be Provided

The learner will be studying the Business Administration Level 3 Apprenticeship Standard qualification.
Functional skills will be studied if equivalent qualifications are not held.

Things to consider

Experience of data entry, experience of using computer applications, experience of working in a customer focused role, and experience of working in an administrative role are all desirable attributes if the ideal candidate.

Future Prospects

Roles such as Executive Assistant and Admin Assistant may become available to the candidate upon completion of the apprenticeship.
